3. Scope of This Policy

This policy covers personal data processed through our website, through email and telephone enquiries, and through the production process in our bench room. This policy does not cover the practices of other companies. If you follow a link from our site to another website, that website has its own privacy notice and we are not responsible for it. We also do not control how a client stores or shares the bound documents after they leave our bench.

We keep these details only for as long as the job and the related accounting records require.

If a client supplies a digital file for printing, the file may include document properties such as an author name, and those properties travel with the file until we handle it.

We may receive information from suppliers, such as a courier confirming that a delivery of paper or a box of finished documents was completed. That information is used only to manage the job and the relationship.

We use personal data for clear and limited purposes.

We do not use personal data for automated decision making that produces legal effects, and we do not sell personal data to any party.

8. Documents Sent for Binding

Binding work often involves confidential material. A tender pack, a set of minutes or a training manual may contain information that a client would not want disclosed. We treat every document as confidential by default, whether or not it is marked that way.

Only the people working on your job see the content. Documents are held on the bench or in a secured area while the work is in progress, and any digital files supplied for printing are removed from our working systems once the run is complete and the retention period for the job has passed. We do not read document content for any purpose other than producing the requested binding, checking the collation, and answering a specific question that you have raised.

Where a document contains personal data about third parties, you are responsible for ensuring that you have the right to share that content with us. We process it on your instruction and only for the binding service you have ordered. If you need us to destroy a file or a set of pages earlier than our normal retention period, tell us at the time of the order and we will note the instruction on the job ticket.

9. Cookies and Similar Technologies

Our website is deliberately simple. We use only the small amount of local storage needed to keep the site working, such as remembering that you have opened the mobile menu on a small screen. We do not run advertising cookies and we do not place cross site trackers.

11. How Long We Keep Data

We keep personal data only for as long as it is needed for the purpose it was collected, plus any period required by law. Enquiry records that do not lead to a job are kept for a short period so that we can answer a follow up question, and are then removed.

Job records, including invoices and delivery notes, are kept for the period demanded by Hong Kong accounting and tax rules, which is generally seven years. Digital files supplied for printing are deleted once the run is complete unless a longer period has been agreed in writing for repeat work. Document content inside a bound set is handed to the client on delivery, and any working copy we hold is destroyed after our normal quality and query window has passed.

When a retention period ends, records are securely deleted or destroyed. Paper containing personal data is shredded rather than placed in ordinary waste.

12. How We Protect Data

We protect personal data with a combination of physical and technical measures that are appropriate to a small workshop. The bench room is accessible only to the people working in it, documents in progress are kept in a controlled area, and finished work is stored securely until collection or delivery.

Our digital records sit on protected systems with access limited to staff who need them. Files supplied for printing are handled on designated equipment and removed when the job closes. We train the people who handle your work to recognise a suspicious request and to verify instructions before releasing a document or changing a delivery address.

No method of storage or transmission is completely secure. We work to reduce risk and to respond quickly if an incident occurs. If a breach ever affects your personal data and the law requires us to notify you, we will do so without undue delay and will explain what happened and what we are doing about it.

13. International Transfers

We are based in Hong Kong and we normally process data within Hong Kong. Some of our service providers may store data in another jurisdiction. Our services are aimed at organisations and adults. We do not knowingly collect personal data from children. Documents supplied by a school, a training provider or another organisation may contain information about young people, and in that case the organisation supplying the document is responsible for having the right to share it with us.
